Executive Assistant

Role Requirements:
- Proactive and able to anticipate the needs of the organisation and directors, taking initiative to solve problems independently.
- Highly organised, with the ability to manage multiple calendars and email inboxes efficiently.
- Strong attention to detail and ability to document and refine Standard Operating Procedures (SOPs) to streamline operations.
- Comfortable using scheduling and communication tools such as Calendly, Zoom, and Google Suite (Google Slides, Google Sheets, Google Docs, Google Forms).
- Experience with productivity tools such as Asana and Notion.
- Strong interpersonal skills to build and maintain relationships within and outside the organisation.
- Ability to handle sensitive and confidential information with utmost discretion.
- Effective at taking meeting minutes, capturing key points and action items with clarity and accuracy.
- Willingness to adapt to changing priorities and work under pressure.
- Experience in an executive assistant or similar role is desirable but not required.
Key Responsibilities:
- Inbox and Calendar Management: Overseeing multiple inboxes and calendars for the Doceo Directors and wider team, ensuring smooth scheduling and prompt responses.
- Meeting Coordination: Facilitating the organisation of meetings, managing agendas, and taking clear, actionable minutes.
- Operational Support: Refining and documenting SOPs to improve efficiency and effectiveness within the team.
- Administrative Support: Assisting with general communications, programme administration, and updating presentations for team meetings and Doceo programmes.
- Tool & Platform Management: Managing platforms used for Doceo programmes and events, ensuring smooth operations.
- Process Improvement: Researching and implementing productivity tools and methods to enhance team efficiency.
- Onboarding & Offboarding: Managing the onboarding and offboarding of Doceo team members, ensuring a seamless transition.
- Professional Development: Engaging in semi-regular training to improve skills and knowledge.
Time Commitment:
- 30 hours per week, including the occasional 2 hours on a Saturday.
